As Belgium’s Flexi-Job Economy Grows, GeekyAnts Strengthens ShiftPilot’s Workforce Platform

How GeekyAnts Strengthened ShiftPilot for Flexi Job Growth

For a Belgian business employing flexi-job workers, changing a shift can involve much more than moving a name on a calendar. The worker needs to be eligible, payroll needs to account for the hours correctly, and a mandatory DIMONA declaration may need to reach Belgium’s National Social Security Office before the employee starts work.

Those processes become harder to manage as businesses rely on larger and more flexible workforces.

That operational challenge sits at the center of ShiftPilot, a Belgian workforce management platform that brings scheduling, employment declarations, contracts, payroll, and worker management into the same experience.

GeekyAnts worked with ShiftPilot to redesign and strengthen its Flutter and Firebase application across iOS and Android, with particular attention to the parts of the platform where a failed notification, duplicate declaration, missed shift update, or incorrect payroll calculation could have consequences beyond the app itself.

The engagement covered recurring scheduling, payroll processing, worker validation, notifications, and automated DIMONA declarations while preserving the workflows already used by ShiftPilot customers.

Belgium’s Flexi-Job Economy Is Getting Bigger

Flexi-jobs were introduced in Belgium in 2015, initially to help hospitality businesses employ additional workers under a more flexible employment arrangement. The model has since expanded into sectors including retail.

Its use has grown considerably.

According to figures from the National Social Security Office (RSZ), 261,868 people held nearly 360,000 flexi-jobs in 2025, up 14% from the previous year. Nearly 53,000 employers participated in the system, an increase of 12%.

For the businesses employing these workers, that growth also creates an administrative challenge.

Before an employee begins work, the employer must submit a DIMONA IN declaration to the National Social Security Office. A DIMONA OUT declaration must follow after employment ends. Failure to complete the required formalities can result in fines and additional NSSO contributions.

For a business managing dozens or hundreds of changing shifts, the declaration therefore cannot sit separately from scheduling.

A worker cancelling, being reassigned, working a long shift, or moving between employment categories can affect several connected processes. ShiftPilot has to keep the schedule, worker status, payroll information, notifications, and government declarations aligned as those changes happen.

Modernizing a Platform People Were Already Using

GeekyAnts was not starting with a blank product.

ShiftPilot already had employers and workers using the platform, which meant the engineering team had to improve its foundations without interrupting existing workforce operations.

The first step was understanding where failure would matter most.

GeekyAnts mapped the existing application, workforce categories, business rules, compliance dependencies, and user journeys before making architectural changes. That helped distinguish ordinary experience improvements from processes that needed stronger safeguards because they affected payroll or regulatory filings.

The work then moved across experience redesign, workforce engineering, compliance automation, and release reliability.

Recurring schedules and worker assignments had to remain easy for managers to change. Completed shifts needed confirmation. Different employment categories required different validation rules. Notifications had to reach workers consistently.

At the same time, those everyday actions needed to remain connected to payroll calculations and DIMONA filing.

The team also had to account for conditions that are common in the environments where workforce applications are actually used. A restaurant or venue may have unstable connectivity. A shift may run for hours while the mobile operating system limits background activity. Scheduling has to remain accurate across time zones and daylight-saving changes.

These were not isolated mobile UX problems. Each could affect what the platform recorded about an employee’s work.

Making Government Filing More Resilient

DIMONA became one of the most sensitive engineering areas in the engagement.

A government declaration cannot be treated like an ordinary app request that either succeeds or asks the user to try again. A failed request needs to be recoverable. A retry must not accidentally produce a duplicate declaration. The application also needs to know whether a filing is pending, completed, or requires another attempt.

GeekyAnts extended ShiftPilot’s existing Flutter and Firebase architecture rather than introducing a separate backend stack.

Cloud Tasks and Firestore state management were used to support persistent processing, retries, and recovery around DIMONA declarations. Idempotency controls help protect against duplicate submissions, while durable task execution reduces the risk of uncontrolled retry cycles. Quarter-based filing logic accounts for Belgian employment requirements.

The shared Flutter application continues to support both iOS and Android while connecting workforce scheduling, worker assignment, labor validation, payroll, notifications, phone-based authentication, and compliance filing.

On the engineering side, high-risk workflows received additional scrutiny before implementation. Changes passed through pull-request review, CI validation, staging, and release controls, with additional observability around operationally sensitive processes.

The aim was straightforward: when a manager changes something as routine as a shift, every system depending on that change should continue to behave correctly.

One Platform Connecting the Workforce Journey

ShiftPilot now operates on a strengthened mobile foundation spanning scheduling, worker management, payroll, notifications, and Belgian employment declarations.

The platform supports three worker categories and, according to ShiftPilot’s publicly reported company figures, is used by more than 1,000 self-employed professionals and staff while processing more than 3,000 shifts each month. These figures describe ShiftPilot’s overall platform usage and are not presented as outcomes of the GeekyAnts engagement.

For ShiftPilot, the engineering work provides a stronger foundation for handling workforce operations as flexible employment continues to expand in Belgium.

For employers using the platform, much of that complexity remains where it belongs: behind the schedule they use to get people to work.
