The digital world has made financial organization a lot easier. You don't have to store different files in your drawers. You can keep digital copies on your laptops. Let's find out which important financial documents you should have, and keep updated.

Bank Statements

Whenever we talk about a financial document, the first thing you think of is the bank statement. It is the most recent and most prominent proof of your income. It also covers your spending and shows a complete overview of your financial health.

Lenders or other authorities always check the bank statement to see how much money you make. Your loan or rental application depends a lot on this document. The authorities check the past 12 months of bank statements for a better idea. Lenders have to certify that you get a stable income.

Lenders consider this as proof that you can pay the amount every month. A low bank statement can get your application rejected. Sometimes, the bank statement may have an error. That's why you should check them every 30 days. Make it a habit to save yourself from major problems in the future.

Tax Records and Income Proof

People often neglect their taxes until they have to pay them. When tax time comes, you may find yourself dealing with unnecessary stress. Don't let this happen. You should keep all your tax records organized to manage taxes easily.

Keep all your tax returns and the relevant documents for seven years. This way, you don't have to worry if there's a tax audit. You will have every document to prove that you paid taxes every year.

Make a Tax Folder which includes:

  • W-2s and 1099s: It highlights the exact amount you earned.

  • Expensed Receipts: It is a digital proof of an expenditure.

  • Investment Summaries: An overview of capital gains or income tax losses.

Do not wait for the last month to update them. It saves your hours of effort and stress in the long run.

Insurance Policies

Insurance is only useful if it provides you with coverage that matches your current lifestyle. A policy that you purchased three years ago may not represent who you are today. Your coverage needs to be updated if you have remodeled your kitchen, purchased a car, or added a new family member.

  • Homeowner/Renter: Does the payout amount reflect the cost of your belongings today?

  • Auto: Do you have liability limits large enough to protect your assets?

These documents should be reviewed whenever a life event occurs. Some common scenarios are getting married or divorced, or changing jobs. Update the insurance policy to make sure that you are safe from any unfortunate incidents.

Real Estate and Property Deeds

Many people have their home or their primary property as the most valuable asset. You should have a record of this property and any others if you own them. The records of your property should be kept updated for better wealth management.

Property documents include the deed, mortgage statements, and documentation of the major home renovations. You will need this file if you ever plan to sell the property. Don't assume that you don't want to sell because no one knows the future.

Keep the receipts of the major updates you have made. It can be a new roof installation or a basement completion. This proves the underlying value of your home. This is also a good trick to offset some taxes that you pay on your profit from selling the residence.

Estate Planning: Wills and Directives

We hate to think about it, but estate planning is a gift to your family. A decade-old will cause problems in the court. Your estate plan should represent your current assets and your loved ones.

In addition to the will, maintain your Power of Attorney documents. These papers identify the people who can make decisions for you if, in the future, you're unable to do so.

Perhaps you named your wife in this document, but you got divorced later. You should update the document as soon as possible to prevent problems. There are many excellent resources available on how to handle this from organizations like the Consumer Financial Protection Bureau.

Investment and Retirement Tracking

This is one of the most important things that people often forget about. Your investment and retirement documents are also important. Yes, you have to update the insurance as well. Your retirement accounts need a check-up after 3 or 4 months.

Let's assume that you have tech stocks. The value can change every week. This means the portfolio can be good for a week and fail the next week.

Use your updated statements to rebalance. You should sell some of the stocks that have gained profit. You can buy some of the low-risk ones. It's good to take some of the profit and spend it on your comfort. You should have a clear idea of your investments for retirement to make better life decisions.

Debt and Credit Records

Always check exactly how much you owe. Maintain an ongoing list of your credit card debt, student debt, or personal loans. Edit this list on a monthly basis when you pay your bills.

This process also includes monitoring your credit report. The big bureaus will share a free report. Check these for any accounts you didn't open. Identity theft is increasingly common, so your record should be updated. This can keep you safe.

Bringing It All Together

You do not have to do all of this at the same time. Instead, designate one Sunday of each month as your 20-minute updating folder day.

  • Month 1: Download and compare your most recent bank statements.

  • Month 2: Check your insurance and beneficiaries.

  • Month 3: Check your retirement balance and review your investment goals.

You can get rid of the overwhelmed feeling by breaking it down into small things. You will feel more confident and handle financial pressure in a better way. It's time to start being responsible with your financial documents to protect your future.
